Back Up Your Website and Emails

As you are probably aware as a client we take backups of your website regularly. However, if the backup gets corrupted or we back up an already corrupted or hacked website. Then you have possibly lost your website and possibly your emails.

It is recommended that you regularly run all the website software updates from your Administration area. As old versions of software can allow access to Hackers. Out of date software can also cause a conflict between other website software and crashing your website.

Or go to your Website Admin Panel > Tool > Export. Then save that Exported file somewhere safe. We suggest that you do this on a regular basis.

Email Back Ups

If you use IMAP emails please understand.
Email accounts set up as IMAP means that all your emails are on the server. You are only looking at a reflection of emails and email folders on your computer or phone.

So if your email account or the server has a hiccup, you may lose ALL Your Emails.

Exporting and Importing Emails Through Webmail

Our website hosting has a standard mail server with 2 different webmail clients (Horde and RoundCube). These are used to view and manage your emails.

NOTE for many years we recommend having your emails hosted on a Dedicated Email Server...
NOT the free mail server (Webmail) that comes with website hosting. Use a CRM that supports this or Microsoft Office Essential or as we do Google G Suite now known as Google Workspace.

Back to… Exporting and Importing Emails Through Webmail

Horde allows the import and export of email. Here are the basic steps to perform Exporting and Importing of emails.

Log into your webmail use go to www.YourDomain.com/webmail

  • Log In by using your email address and email password
  • Select Horde.
    If you are not on the Webmail Dashboard either click the WebMail icon. Or you may need to use the dropdown arrow in the top right corner to access Horde.

How to Create a New Folder in Horde
You may import mail into any folder, including your inbox. However, for ease of management, you might find it useful to create a separate folder for imported mail – for instance, to keep all mail exported from another host separate from your current mail structure.

To create a mail folder in Horde:
1/ Left-click the Folder Actions icon in the left menu or click the Folder Action dropdown menu.
2/ Click Create Mailbox.
3/ In the “Create mailbox” popup, enter the name of the new folder and click OK:
4/ Your new folder will now appear in Horde’s left column.

How to Import Email

Your email should be in a .mbox or .eml file to be imported into Horde. Unzip your file first if you were provided a .zip file.

To Import your emails via Horde:
1/ Right-click the folder into which you wish to import messages:
2/ On the next screen, left-click Import:
3/ In the popup, browse to the target file and click OK:
4/ A successful import will display a green message bar with details:
A failed import attempt will display a red error bar (This usually results from trying to import a zipped or corrupted file.)

How to Export Email

It is generally a good idea to create backups of important email folders, and Horde’s export function allows you to do this readily.

To export your email via Horde:
1/ Right-click the folder from which you wish to export messages. For instance, to export your inbox contents, right-click the Inbox icon in the left menu.
2/ On the next screen, left-click Export:
3/ The resulting popup will allow you to select to download either an uncompressed or a .zip-compressed .mbox file:
4/ Click OK in the pop-up window to start the download of the .mbox or zip file.

Note: The export function will not provide feedback messages. The .mbox or .zip file will be created in the download folder per your browser settings.
