Emails are the ultimate good news/bad news communication resource. When done correctly, they are fast and valuable communication tools. When done poorly, they can be “breeders” of miscommunication and often a waste of time.
Here are some proven techniques to effectively craft emails and make it easier for recipients to respond quickly and completely.
1/ Be Brief
Limit emails to one screen and a single subject whenever possible. Here’s a tip…try emailing like you text.
2/ Be Clear
Brief is good…but be sure to also make it clear, concise and action-oriented.
3/ Minimise Questions
Limit the number of questions you ask or action items you assign to four or fewer. The more questions in the email, the less likely you are to get a response. Likewise, the more action items you assign, the less likely you are to get results.
4/ Provide a Complete Response
When responding to an email, read it carefully and be sure you address all of the sender’s items or questions. It is more informative, and reduces time-wasting back-and-forth emails to say, “I don’t know about…” than to simply ignore an item or question.
5/ Proofread and Edit
Always proofread emails before sending…you can’t always rely on spell check. Clear up any potential ambiguities. Check for and remove excess commentary that doesn’t contribute to your desired result.
If you have an email account set up on your mail server & you also have it so it forwards to a Gmail account. Then chances are that your emails are being bounced by Google & not delivered into your Gmail account.
Here is a cure for those emails being bounced by Gmail.
Google restricts the number of emails to Gmail accounts, which originate from particular sources. Most small businesses don’t use an internal mail server, instead they use the mail server attached to their website hosting.
In this case (non in house mail servers) the hosting server has a main frame server that is shared by many smaller domain hosting accounts most with mail servers attached. So Google recognises the originator of emails (the main server) & not your hosting account with your web mail account as the source of forward emails to Gmail.
In Google’s eyes it looks like spam when all these emails are resent (forwarded to Gmail). Gmail may put an email block in place which disallows the forwarded email and causes bounce backs. We believe the cure is opting to use Google Mail Fetcher instead of forwarders, as POP3 will not produce the same problem (POP3 *retrieves* the email from the server whereas forwarders “send” to a server.)
About Google Mail Fetcher
Google Mail Fetcher uses POP3 to pull all the contents of an email box into Gmail and then parses the emails for spam. Mail Fetcher can download messages from up to five other email accounts, allowing you to centralize all your email in Gmail.
Once Mail Fetcher is set up, Google will check those accounts on a regular basis, and new mail will appear automatically in Gmail.
Note: The email accounts from which you’d like to fetch mail must support POP access and, in the case of Gmail addresses, have POP access enabled.
How to Set Up Google Mail Fetcher
To set up Google Mail Fetcher for an email account:
After successfully adding your account, you’ll also have the option of making the added account a custom From address. This will allow you to compose messages in Gmail but have them appear to be sent from your other email account.
